Session Chair Information

Please arrive at least 10 minutes early to familiarize yourself with the meeting room and the audio-visual equipment. At each session, a volunteer will be on hand in the room to take care of the projection equipment. In addition, an audio-visual technician also will be close by to assist you if needed. Each room will also have a timer and a laser pointer. It is essential that we maintain the proper schedule. If a speaker ends early or if there is a cancellation, do not introduce the next speaker until the time designated for that talk. Talks are intended to be 12 minutes long with 2 or 3 minutes for questions, so keep introductions brief. If speakers use up all 15 minutes for their talk, there can be no question period.

Session Speakers

Please arrive early at your session and introduce yourself to the session chair. Reference your presentation to the technician using the number in the program. The presentations will be uploaded/downloaded to your session room. You must stay within your allotted 15 minutes, which includes time for introductions and, ideally, questions. You may preview your presentation in Speakers’ Ready Room, WTC, lower level, Camerino 3. Overhead projectors will also be in all the session rooms and we suggest you bring overheads of your presentation as backup.

Because this is a bilingual meeting, it is essential that you speak as clearly as possible in the language you have chosen to use. To make your talk as informative as possible to those whose primary language is not the language you are using, it would be beneficial to make slides that are bilingual in nature. For example, graphs could be labeled in the language other than the one you are speaking, or slides of your outline or summary statements could be in the other language. If you need help with translations for these sorts of things, contact members of the Scientific Program Committee.

Session Attendees

We have tried to arrange the general sessions in such a manner that movement from one session to another can occur quickly. When moving, please do so only after the speaker has finished his/her presentation. Most of the speakers have chosen to speak in English, but some will be presenting in Spanish. We encourage English-speaking attendees to remain through these talks even if they are not fluent in Spanish, as these participants are being encouraged to make their talks as bilingual as possible (with English labels on slides and such). English speakers should remind themselves that Spanish-speaking participants are listening to many English talks, even though we are in Veracruz, Mexico!
